Job Description
Oversees end‑to‑end ocean and road freight operations, ensuring timely documentation, customs clearance and cargo release. Coordinates with pricing teams, suppliers, agents and regulatory authorities to manage shipments from handover through delivery. Maintains accurate records in CargoWise, handles invoicing and billing, and follows up on payments. Requires strong logistical knowledge and the ability to manage multiple stakeholders in a fast‑paced environment.
Qualifications & Requirements
- • 2–5 years of experience in freight forwarding, customs clearance or a similar logistics role
- • Diploma in Supply Chain & Logistics, Maritime Studies, Clearing & Forwarding or a related field (a degree in Business Administration or Communications is a plus)
- • Certificate in customs procedures for freight logistics and management
- • Proficiency with CargoWise or other transport management systems
- • Strong knowledge of customer service operations within a clearing and forwarding environment
- • Excellent written and oral communication skills
- • Ability to solve problems and organize tasks effectively
Required Skills
Responsibilities
- • Receive shipment handover from pricing team or client and create the file and CargoWise entry to obtain the shipment number
- • Coordinate the application of IDFs and related customs declarations
- • Arrange and monitor inspections with KEBS‑approved agencies such as SGS or Intertek
- • Follow up with suppliers/importers to obtain quality and ISO certificates required for inspection
- • Ensure cargo inspection is completed and obtain draft and final COC approvals
- • Notify partners or agents to schedule cargo collection and book the shipment
- • Issue and share pre‑alerts with consignees, including expected arrival dates
- • Confirm insurance requirements and bill related charges to the consignee when applicable
- • Retrieve carrier manifests and forward them for customs entry registration
- • Provide customs entry documents to clients and finance for invoicing and payment
- • Liaise with field operations officers to obtain verification updates and release status
- • Inform consignees once shipments are released and coordinate final delivery
- • Close shipment files, verify quotes, freight invoices and handling fees, and forward documentation to finance
- • Prepare and send client invoices for payment and follow up on outstanding balances
- • For clearance‑only shipments, verify PVOC exemption or COC status and ensure all documents (invoice, packing list, exemption) are in order
- • Track cargo arrival, obtain manifests and share entry information with clients and finance
- • Conduct billing activities and ensure accurate invoicing of freight and handling charges
- • Connect suppliers with agents/partners, coordinate collection and booking, and share booking confirmations with consignees
- • Arrange final COD invoices based on cargo details and secure payment before release
