Job Description
The Procurement Officer ensures timely procurement and effective warehousing of pharmaceutical products, acting as the liaison with regulatory bodies and handling customer returns. They develop and maintain SOPs aligned with GDP and WHO standards, monitor stock movements to avoid shortages or excess, and keep accurate documentation. The role also involves investigating market complaints and supporting quality assurance processes.
Qualifications & Requirements
- • Diploma in a relevant field such as procurement, pharmacy, or business administration.
- • 1–2 years of experience in procurement or supply chain.
- • Strong integrity and ethical standards.
- • Ownership and accountability mindset.
- • Excellent communication skills.
- • Problem‑solving ability and learning agility.
- • Proficiency in Excel and analytical tasks.
- • Negotiation skills.
- • Knowledge of procurement processes and pharmaceutical products.
Required Skills
Responsibilities
- • Serve as liaison with the Pharmacy and Poisons Board.
- • Coordinate procurement to meet stock requirements promptly.
- • Oversee procurement and warehousing, ensuring proper storage, FIFO, expiry management, and item condition.
- • Investigate market complaints and respond appropriately.
- • Manage customer returns, raise GRNs, provide reasons, and forward for credit authorization.
- • Develop, implement, and review SOPs for quality assurance and operations in line with GDP, WHO, and best practices.
- • Monitor stock movement to prevent stockouts or overstocking.
- • Manage returns of slow‑moving, overstocked, or near‑expiry items.
- • Ensure continuous supply of high‑quality products and follow‑up in storage.
- • Maintain accurate records of all customer documentation.
